Version v2026-10-30
Terms and conditions
The agreement between RingBrio and your business: trial, price, cancelling, liability.
Language
This is a translation. If it differs from the Dutch version, the Dutch version applies.
1. Who we are
RingBrio is a service of Lekasoft, Vatternkade 56, 1060 PK Amsterdam, the Netherlands (Chamber of Commerce 94041105, VAT NL005059701B93), "we" in these terms. The business that uses RingBrio is "the customer".
These terms apply to every use of RingBrio. RingBrio is for businesses and self-employed people only, not for consumers. The customer's own terms do not apply.
2. What RingBrio does
RingBrio gives the customer an AI assistant with its own phone number. The assistant answers calls, gives information based on what the customer set up, can book appointments, sends texts and emails, and transcribes and summarises calls.
At the start of every call the assistant says that it is an AI and that the call is transcribed. The customer may not remove that notice.
We keep improving RingBrio and may change features. If a change removes something essential the customer pays for, we tell them in advance.
3. Not for healthcare or emergencies
RingBrio is not meant for healthcare providers, such as GPs, dentists, physiotherapists, psychologists, pharmacies and clinics, or for calls about someone's health. RingBrio is not an emergency line. We may refuse or end a healthcare provider's account.
4. Account and free week
The customer creates an account with correct details and keeps their login details secret. What happens under the account is the customer's responsibility.
The first 7 days are a free trial. The customer adds a payment card at the start but pays nothing during the trial. Unless the customer cancels before the trial ends, it becomes a paid subscription of EUR 89 a month. During the trial the assistant already takes real calls. One trial per business, also after cancelling.
5. Price and payment
RingBrio costs EUR 89 a month, excluding VAT, per business: one assistant and one RingBrio number. There are no per-minute charges.
We charge the amount monthly in advance through our payment partner Stripe. The customer gets an invoice every month. With a valid VAT number in another EU country, VAT is reverse-charged.
We announce a new price at least 30 days in advance by email. The customer can cancel before the new price applies.
If a payment fails, we retry and send a message. If payment stays out, we may stop the line (see article 10).
6. Fair use
The subscription is meant for normal use by one business: up to 500 call minutes per calendar month with callers (your own test calls don't count). We let the customer know at 80%. Above 500 minutes, RingBrio keeps answering calls and we get in touch to find what fits. We never interrupt a call in progress because of minutes.
If use in a single day or month is far above normal, we may temporarily refuse new calls. This prevents abuse and technical faults, such as an auto-dialer that keeps calling. Callers then hear that the line is unavailable and get a text that the customer will call back.
Texts to callers: at most 300 a month per business. Anyone who sent STOP gets no more texts. Review and come-back messages are off until the customer turns them on.
Use that clearly does not fit one business (reselling, a call centre, automated calling, abuse) is not covered by the fixed price. We may then limit the use.
7. Cancelling and ending
The customer can cancel any month themselves, in the account. The subscription then runs to the end of the paid month. We do not refund a month in progress.
After the end the line stops taking calls. The customer switches off forwarding of their own number. We release the RingBrio number after 14 days. Data is deleted as set out in the data processing agreement. The customer can request an export of the data within 30 days via support@ringbrio.com.
8. What the customer does
- Check and keep current the assistant's opening, knowledge, rules, prices, opening hours and services.
- Keep track of bookings and call reports and follow them up.
- Set up, test and switch off forwarding of their own number.
- Make sure their use of RingBrio is lawful, for example by informing callers in their own privacy statement and having consent for review and come-back messages.
AI can make mistakes: mishear, summarise something wrongly or answer a question badly. The customer checks important matters themselves. What the assistant says based on the customer's settings is the customer's responsibility.
9. Availability
We do our best to keep RingBrio working at all times, but promise no particular availability (no SLA). RingBrio depends on phone networks, the internet and AI providers. Maintenance is sometimes needed. Where possible, we announce it in advance.
10. Suspension and termination by us
We may (partly) stop RingBrio for a customer or end the account for non-payment, abuse (such as spam, fraud, deception or removing the AI notice), use by a healthcare provider, breach of these terms or the law, or when the use puts our systems or other customers at risk. Where possible we warn first.
11. Liability
Our total liability is limited to the amount the customer paid us in the 12 months before the event that caused the damage.
We are not liable for indirect or consequential damage, such as lost profit or revenue, missed calls, missed, double or wrong bookings, lost data, or damage caused by what the assistant said based on the customer's settings or by an AI error.
These limits do not apply in case of intent or deliberate recklessness of our management.
12. Data and privacy
For the data of the customer's callers and clients, the customer is the controller and we are the processor. The data processing agreement is part of these terms. For the account data itself we are the controller. See the privacy statement.
13. Ownership
RingBrio's software remains ours. The customer may use RingBrio while the subscription runs. The customer's texts and data remain the customer's.
14. Changes to these terms
We may change these terms. We announce an essential change at least 30 days in advance by email. If the customer does not agree, they can cancel before the change applies. Each version is on this page with its date.
15. Law and disputes
Dutch law applies. Disputes go to the court of Amsterdam.
